Small Business Bookkeeping Checklist

A practical monthly bookkeeping checklist for Australian small-business owners who want cleaner records and fewer last-minute surprises.

Reconcile bank and card accounts

Every business bank account and business credit card should reconcile to the accounting file. Differences are easier to fix while the transactions are recent and the supporting information can still be found.

Collect missing documents

Invoices, receipts, loan statements and supplier documents need one consistent capture process. A simple routine that people actually use is more valuable than a complicated filing system.

Review customer money

Check outstanding customer invoices and identify anything overdue, disputed or unlikely to be collected. Good bookkeeping should help the owner see what cash is expected, not only record what happened.

Review supplier bills

Make sure bills are entered once, coded consistently and scheduled appropriately. Duplicate bills, missed bills and forgotten subscriptions create unnecessary noise.

Check payroll records

Confirm payroll transactions and supporting records are complete. If something does not reconcile, investigate it before the next pay cycle rather than letting the difference compound.

Flag unusual transactions

Owner payments, loans, asset purchases, large transfers and unusual one-off transactions should be flagged for review rather than forced into a convenient category.

Review the reports

A profit and loss report and balance sheet should look broadly sensible. The aim is not to become an accountant; it is to notice obvious anomalies early.

Keep one issues list

Put unresolved bookkeeping questions in one place with an owner and next action. That prevents the same item appearing month after month.
